Add a party to a deal

Guide 3 min read 5 steps Updated 1 Nov 2026 Copy link

Add a co-owner, buyer, cooperating agent, solicitor, notary or bank to a deal so their details prefill every document, they get their own access, and they can be chosen as a signer.

Everyone involved in a transaction can be a party on the deal: the seller and any co-owners, the buyer, the agent on the other side, the solicitors, the notary and the bank. Once someone is a party, their details flow into every document on the deal, they can be ticked as a signer, and if they have an email address they get their own access to the deal.

You can add parties when you create the deal or at any time afterwards from the Parties tab. Adding the other side's agent early saves retyping their details into the co-brokerage or commission forms later.

Before you start

  • The person's name and role. Email, phone and an identity number help, and are needed if they will sign a document.
  1. Open the Parties tab

From Mis operaciones open the deal and click Parties. Everyone already on the deal is listed with their role and contact details.

  2. Add the party

Click Add party. Search your CRM clients to pick someone you already know, or type a new name. Choose the role: Seller / Vendor, Buyer, Listing Agent, Selling / Co-Agent, Solicitor / Abogado, Notary, Bank / Mortgage or Other.

Add their email, phone and identity number, then save. A new person is added to your CRM as well.

Note For the agent on the other side of the sale, choose Selling / Co-Agent. Their details then prefill any form that names a cooperating agent.

  3. Check what they can see

A party with an email address gets their own access to the deal automatically. They see the documents that concern them. ID and KYC documents stay private unless you share them, and Vault documents are shared only when you choose them.

  4. Use them as a signer

When you send a document for signature, the party appears under Who signs from this deal on the review screen. Tick them and click Update signers. Someone who should sign once but not be on the deal can instead be added under External signers at that point.

  5. Edit a party later

Open the party from the Parties tab, change the details and click Update party. Documents you generate afterwards use the new details. A document already out for signature keeps the details it was sent with; to change those, use Correct document.

Conviene saber

  • Check the email address twice. It is what the signature invitation and the deal access are sent to.
  • Co-owners are separate parties. Add each owner on the title so the listing agreement names all of them and each gets a signature box.
  • You do not need the buyer on the deal to record an offer, but adding them makes the Offer To Purchase and the reservation prefill with their details.
  • Professional parties such as the solicitor or notary rarely sign your forms, but adding them keeps their contact details with the transaction and lets you share Vault documents with them directly.

Questions about this

Who can see the documents on a deal?

In what order do people sign, and can I add someone who isn't on the deal?

You sign first, then your client, and the invitations go out by email in that order. Someone who isn't on the deal, like a cooperating agent, can be added under External signers.
