Find the right form by name or stage, add it to the deal, and fill it in with the bilingual contract builder, which writes the Spanish and English contract as you type.
Every contract on The NLS belongs to a deal, so the forms library opens beside the deal's documents rather than as a separate page. It holds the forms a Spanish sale needs, from the listing agreement and the buyer's proof of funds to the KYC forms and the key handover on completion day. Each one is written in Spanish and English side by side.
You never type legal text. You fill in fields on the left, and the contract on the right updates as you go. Some forms go a step further and work as guided questionnaires: you answer plain questions and the platform writes the document from your answers.
Before you start
- A deal in My Deals. The contract builder fills in your agency, the property and the parties from the deal, so the more the deal knows, the less you type.
- The details only you know for this form. For a listing agreement that is the cadastral reference, the Land Registry details, the price, your fee and the dates of the mandate.
-
Open the deal and find the form
From your dashboard open My Deals, click the deal and stay on the Documents tab. The forms library is beside the documents.
Search for a form by name, for example proof of funds or key handover. Or browse by stage. Offers & Reservations holds the offer, the counter-offer and the reservation. Compliance holds the KYC and anti-money-laundering forms.
-
Add it to the deal
Drag the form onto the deal, or click its plus. It appears among the deal's documents as a draft. A new listing deal already comes with its starter documents, including the listing agreement, so check what is already there before you add a second copy.
-
Open the contract builder
Click the draft to open it. The builder is filled in from the deal: your agency, the place and date, the property and the client. You type on the left. On the right is the contract itself, Spanish and English side by side.
The seller's details are already in, straight from the deal. If something is wrong there, fix it on the deal's Parties tab rather than in the contract, so every later document is right too.
-
Add what only you know
Work down the fields. For a listing agreement that means the cadastral reference and the Land Registry details, then the price. Click the price field and type. The price clause in the contract lights up and updates as you type.
Do the same for your fee, the cooperating agent's fee and VAT, then the start and end dates of the mandate and the protection period.
Note Watch the right-hand side as you type a figure. Seeing the clause update is the quickest way to catch a missing zero.
-
Check how complete it is
The bar at the top shows how complete the document is, section by section. A required field that is still empty is marked when you try to send, so you can find it quickly.
Changes save automatically. You can close the builder and come back later. Nothing is sent until you confirm, so a half-finished contract cannot reach a client by accident.
-
Answer a guided questionnaire, where there is one
Some documents are guided questionnaires rather than forms. The DIA, the information document for buyers in Andalucía, is one. Start with the transaction type, for example a resale. The questions and the document both adapt to your answer.
The panel at the top lists exactly which answers are still missing. Until they are all in, the document cannot be issued, so nothing incomplete goes out.
-
Review and send
When the document is complete, click Review & send. You go to the deal's Signatures tab to read the finished contract, check who signs and send the invitations. See Send a contract for e-signature for that part.
Good to know
- Search by what you need, not by the Spanish name. Form names show both languages, so key handover finds the Acta de Entrega de Llaves.
- Fix party details on the deal. The builder reads names, IDs and addresses from the Parties tab. Correct them there and every document on the deal picks up the change.
- Add a cooperating agent as a party before you open a form that names one, so their details prefill instead of being typed by hand.
- Legal wording. The forms are bilingual templates for Spanish property transactions, and some carry a note about their wording. They are not legal advice. If you or your client have a question about a clause, ask a legal adviser before you send.
- Printing is optional. The contract on the right is the document that will be signed, so there is no separate PDF to prepare.
