Start a deal from My Deals, enter the property and the client once, and work from the deal page, where the documents, Vault, parties, checklist and signatures for one transaction live together.
A deal is the one place for a transaction. It holds the property, the client and every other party, the contracts you prepare, the signed copies in the Vault, the checklist and the history of what happened. You enter the details once, when you create the deal, and every document on it is filled in from them.
My Deals gives you three ways to start: taking on a listing, selling a property, or a general deal for buyer representation, compliance or anything else. This guide follows a new listing, which is the most common starting point.
Before you start
- The owner's name, email, phone and NIE or other identity number. If they are already a client in your CRM, their name is enough.
- The property address, or the NLS listing if it is already on the platform.
- Whether the mandate is exclusive or open, because the deal prepares the matching listing agreement.
-
Open My Deals
From your dashboard open My Deals. Across the top are your active deals, the ones that need attention, documents awaiting signature and your pipeline value. Below them are the three ways to start. Your existing deals are listed underneath; filter them by listings, sales or compliance, or search by client, address or reference.
Note If you would rather be walked through it, Start with Guidance takes you step by step from the deal to the document to the signature.
-
Choose how to start
Click List a Property to take on a new listing. Sell a Property starts the sale side for a property you already represent, and Create a Deal covers buyer representation, compliance work or anything else.
-
Fill in Deal information
For a listing, choose the listing type first: Exclusive listing or Open listing. The platform prepares the matching listing agreement.
Give the deal a name you will recognise in a list. The property or the client works well, for example Townhouse in La Quinta. If the property is already an NLS listing, search for it and its details fill in. Otherwise type the address. Then pick the category, such as residential.
-
Add the owner and any other parties
Search your CRM clients for the owner, or type a new one. For a new client set their role as the seller and add their email, phone and identity number. Every document on this deal is filled in from these details.
Add co-owners, a buyer or anyone else with Add party. You can add more parties later from the deal page.
Note A new owner is added to your CRM at the same time, so you do not enter them twice.
-
Save and open the deal
Click Save & open. The deal opens with its starter documents ready to fill in. For a listing deal those are the listing agreement, the KYC form, the property information sheet and the DIA.
-
Find your way around the deal page
At the top you see the deal's name, address, type, client and agent, and its status. Next action tells you the most useful thing to do now and Open action takes you straight there.
The tabs hold everything else: Documents, VAULT, Summary, Parties, Checklist, Notes, Signatures and History. Documents shows what you are preparing with the forms library beside it, and Upload document adds your own file to the deal or to the Vault.
-
Track progress on the Summary tab
Summary has the overview: property, type, price, address and the assigned agent, plus recent activity. On the right, Deal progress shows how far you have got.
Change the status here and click Update. Set the Expected closing date and click Save. Reassign the deal to a colleague under Assigned agent. The statuses run Prospect, Pending, Active, Inactive, Fell Through and Closed / Sold.
-
Use Parties, Checklist, Signatures and History
Parties lists everyone on the deal. Each party with an email address gets their own access to the deal automatically. ID and KYC documents stay private unless you share them.
Checklist has the usual steps for this kind of deal. Tick them off or add your own tasks. Signatures shows every document out for signature or still to prepare, and History records everything that happens on the deal.
Good to know
- Name deals consistently. Property first, or client first, but pick one. The list and the search both work on the name.
- Create the deal before the listing when you can. The signed listing agreement then files itself in the Vault, and when you add the listing from the Vault the address and documents come with it.
- Start a buyer deal with Create a Deal when you represent the buyer, so their proof of funds and KYC forms have a home before an offer is made.
- Watch Next action. It changes as the deal moves, from filling in the agreement to sending it to filing the signed copy, so it is a reliable to-do list for one transaction.
- Fell Through keeps the record. Use it rather than deleting a deal that did not complete, so the documents and history stay available.
