Plan a viewing tour

Turn a client's showcase reply into a route of confirmed viewings, share the live itinerary with them, and run the day from your phone.

When a client asks to view from a showcase, their reply tells you which homes they rated highest and how long they spent on each. A viewing tour turns that reply into a day out: the homes in the best driving order, each viewing confirmed with its listing agent, and a page your client can open on their phone.

The tour lives under Bookings & Tours. You build it, confirm each stop, share it, and then use the same page on the day to navigate and record how each viewing went.

Before you start

  • A showcase reply with at least one viewing request. See Send a showcase to a buyer.
  • A date in mind, and a rough idea of how long each viewing takes and how far apart the homes are.
  • A way to reach each listing agent. Viewings of other agents' listings are confirmed by phone or message and then recorded on the tour.
  1. Read the reply

Click Tours in the top menu and open your client's reply under Tour responses. Click Review & build tour.

At the top, AI Buyer Intelligence sums up how keen the client is, what they seem to prefer and a recommended next move. Below, each property shows how confident they were and how long they looked, with their favourites first. Click Compare favourites to see the top picks side by side.

  2. Build the tour

Tick the homes to include and click Build optimal tour. Choose the date, the start time, how long each viewing takes and the travel buffer between stops.

Click Create optimal tour. The NLS orders the homes to cut the driving and checks the day against your calendar. The tour is saved under Bookings & Tours.

Note The times are estimates at this point. They firm up as each viewing is confirmed.

  3. Fix anything the itinerary flags

Open the tour workspace. You see the itinerary with the first viewing, the estimated finish and a list of anything still to sort out, such as a missing address or a viewing the listing agent has not confirmed.

Click Edit on a viewing that needs an address. Search for it, click the entrance on the map and save the address. That switches on Navigate for that stop on the day.

  4. Confirm each viewing

Ring or message the listing agent for each home. When they confirm, click Edit on that viewing, set the status to Confirmed and record how they confirmed.

Add the meeting point, parking and access notes, and choose how much of the address your client sees. Click Save Confirmation.

With every viewing confirmed, the itinerary is ready and the route shows on the map. You can move viewings up or down, add a property or a break, and recalculate the route.

  5. Share the tour with your client

Under Share, send the live itinerary by email or WhatsApp, or copy the buyer link. The preview is exactly the page your client opens.

In Manage Access choose how much of each address they see: the town only, a meeting point, or the exact address with directions. You can set an expiry on the link or revoke it later.

Your client gets the route, each stop with its time, and Add tour to calendar. Because the page is live, any change you make shows the next time they open it.

Note Keep addresses to a meeting point until you have met the client, if that is how you normally work. You can widen access later without sending a new link.

  6. Run the day

On the day, open the On the day tab, or Tour Day on your phone. It shows your next viewing with Navigate and the access notes you saved.

After each viewing, click Mark Viewing Complete and note how it went: favourite, interested or not, what they liked, any concerns and their view on price. Your client can add their own feedback on the tour page too.

Good to know

  • Build from the favourites. A client's top three with a long dwell time are worth more than ten they skimmed. Use Compare favourites before you tick.
  • Leave a real travel buffer. The route cuts driving, but a buffer that is too tight makes every later time wrong once one viewing runs over.
  • Add a break as a stop in the itinerary so the client's page shows it and the finish time stays honest.
  • Revoke the link in Manage Access if the client forwards it or the day is cancelled. The page stops working at once.
  • Record the outcome on the day while it is fresh. The notes feed your reports and the client's record in the CRM.
