Open CRM Home, add a buyer or seller, complete what each stage asks for and use Progress to move them on, or let The NLS move them when it sees the evidence.
The NLS CRM is built around a pipeline. Every client is a card in the column for their stage, from New Lead through to completion, and each card tells you whether they are on track and what the next step is. Buyers and sellers have their own pipelines with their own stages.
This guide takes you from opening the CRM to adding a new client and moving them from stage to stage. Much of the moving happens on its own: when The NLS sees a call logged, a showcase sent or a tour booked, it progresses the client for you.
Before you start
- A client's name and at least an email address or mobile number.
- For a buyer, where they want to buy and what they are looking for. For a seller, the address of the property they are selling.
- If you work in a team, know which agent the client should be assigned to.
-
Open CRM Home
Click CRM in the top menu. At the top of CRM Home is your next best action: the client who needs you most right now, with buttons to email them, schedule something or log a note.
Below that, Today lists what is overdue, and Business Today counts your buyers, sellers, deals, tours, offers, tasks and signatures.
-
Read your pipeline
Further down is the pipeline itself. Each client is a card in the column for their stage. The label says whether they are On track, Need attention or At risk, and the line underneath gives the next step.
Use the switch to change between Buyers and Sellers. Sellers have their own stages, from Incoming Lead through the valuation, the listing agreement and going live, to completion.
Note A client turns At risk when a follow-up passes its time without being completed or rescheduled.
-
Narrow the board down
Click Needs action to see only the clients waiting on you. Search by name, email or phone to find one person, or use Jump to to go straight to a stage.
-
Add a new client
Click Add Client at the top right. Enter their name and at least an email address or mobile number. Choose the pipeline, Buyer or Seller.
For a buyer, add where they want to buy and their requirements. For a seller, add the address of the property they are selling instead, and The NLS offers the matching Cadastre record so the property details come in correctly.
Check the assigned agent and click Add client. The new client's workspace opens straight away, in New Lead.
-
Complete what the stage asks for
The open stage shows what it needs. In New Lead, click Complete client profile, check the details and click Save client profile.
Each later stage has its own short form. At Qualified, for example, you record a buyer's buying position and finance, then click Save stage.
-
Move the client on
When a stage is complete, the Progress button turns red. Click it and the client moves to the next stage.
Often The NLS does this for you. When it sees the evidence, such as a call logged, a showcase sent or a tour booked, it moves the client on by itself. You do not need to progress a client by hand if the work is already recorded.
-
Check Clients and Reports
Clients lists everyone in one searchable table, which is handy when you want to find someone without knowing their stage. Reports shows how your pipeline is performing: clients by stage, what is overdue and your workload.
Good to know
- Start with the pipeline, not the table. The pipeline tells you what each client needs next. The Clients table is for finding people.
- Log the work, not the stage. A logged call, a sent showcase or a booked tour is what moves a client on. Record those and the stage usually follows.
- Keep the assigned agent right when you add a client. Follow-ups, tasks and the next best action go to whoever is assigned.
- Several clients at once? Bring them in from a spreadsheet with Import clients rather than adding each one by hand.
