Schedule a follow-up from a client's workspace, manage every task and appointment in Tasks & Calendar, connect your own calendar and record viewing outcomes.
The CRM keeps your next steps in one place. A follow-up is a dated action on a client. Tasks & Calendar brings every follow-up, task, appointment and tour together by week, month or list, and Viewings tracks each appointment through to its outcome.
This guide covers scheduling a follow-up, working your task list, seeing it all in Google Calendar or Microsoft Outlook, and recording how a viewing went.
Before you start
- A client in your CRM to schedule against.
- If you want to see CRM items in your own calendar, access to the Google or Microsoft account you use for it.
-
Schedule a follow-up
In any client's workspace, click Schedule Follow-Up. Type the next action, for example a call to confirm a viewing. Pick a date and time, or use Later today, Tomorrow or Next week.
Choose the type, such as a call, WhatsApp, email or meeting, and a reminder. Then click Schedule Follow-Up.
-
Deal with an overdue follow-up
If a follow-up passes its time, the client turns At risk on your pipeline. Open them and click Reschedule to move it, or Mark Complete when it is done.
Note At risk is a signal, not a penalty. Clearing or rescheduling the follow-up brings the client back on track.
-
Open Tasks & Calendar
Open Tasks & Calendar from the CRM menu. You will see every task, appointment and tour, by week, by month or as a list.
Filter by Today, Upcoming, Overdue or Completed. Click a task to see its details, and mark it complete once it is done.
-
Add a task of your own
Click Add task. Choose the client, describe the task, set the type and time, and click Save task.
The NLS also adds follow-ups for you, for example after every viewing, so nothing is missed.
-
Connect your own calendar
To see it all alongside your other appointments, connect Google Calendar or Microsoft Outlook from Tasks & Calendar. The NLS stays the master copy, so make changes in the CRM rather than in your calendar app.
-
Work the Viewings list
Viewings lists every appointment and tells you which are awaiting a reply, booked or need an outcome. Check it after each day of viewings.
-
Record a viewing outcome
After a viewing, click Record the outcome. Say what happened, how interested the buyer was and what they thought of the price, tick whether they may offer, add what they said, and click Save the outcome.
The Outcomes tab keeps every result, and you can download it all as a spreadsheet.
Good to know
- Always set a next follow-up. A client with nothing scheduled drops out of your Today list and is easy to forget.
- Use the quick dates. Later today, Tomorrow and Next week are faster than the picker and good enough for most follow-ups.
- Record the outcome the same day. What the buyer said goes into the seller's report, so note it while it is fresh and keep it factual.
- Your calendar is a mirror. If something looks wrong in Google or Outlook, fix it in the CRM and it will update.
