Set the closing date and the Closed / Sold status on the deal, record completion and commission in the CRM, and let the linked listing be marked Sold for you, or mark it by hand if it sold outside a deal.
A completed sale shows in three places on The NLS: the deal, the CRM and the listing. It starts with the deal. Closing the deal moves your seller to the completion stage in the CRM, where you record the final figures and your commission, and if the listing is linked to the deal it is marked Sold for you with the sale price and date.
The forms for completion day are in the deal's forms library alongside everything else: the completion confirmation, the key handover form and the closing package checklist.
Before you start
- The deal for the sale in My Deals, with the signed agreements in its Vault.
- The completion date and the final price, and once you have them, the commission figures and invoice number.
- If the property is not yet an NLS listing, the executed listing agreement, because creating a listing requires it.
-
Prepare the completion documents
Open the deal and, in the forms library on the Documents tab, search by name for the Completion Confirmation, the Key Handover Form and the Closing Package Checklist. Add the ones you need, fill them in and send them for signature in the usual way.
-
Set the closing date
On the deal's Summary tab, under Deal progress, enter the closing date in Expected closing and click Save.
-
Close the deal
In the same panel set the status to Closed / Sold and click Update. The deal now shows as Closed / Sold at the top of the page, and the History tab records the change.
Note If the sale did not complete, choose Fell Through instead. The deal and its documents are kept.
-
Record completion in the CRM
Closing the deal moves your seller along their pipeline to Completion in the CRM. Open the client there and record the actual date, the final price, and whether the funds and the keys are confirmed.
-
Record your commission
At Commission received, enter the Gross commission, VAT and Net commission, the Invoice number, the Due date and the Payment status, then save. The sale then counts in your pipeline reports.
-
Let the listing be marked Sold
If the listing is linked to the deal, closing the deal marks it Sold for you, with the sale price and date, and the deal's history records it. There is nothing more to do on the listing.
If the property was never listed, you can still create the listing from the deal's Vault so the address and documents come with it. The add-property form opens with the seller and property already linked. The executed listing agreement is required, so attach it, then submit the listing.
-
Mark a listing Sold by hand if it sold outside a deal
Open My Listings and click Mark as Sold on the listing's card. Enter the Sold price and the Sold date and confirm. The listing leaves the active network and your feeds, and the sale shows on your record.
Good to know
- Close the deal first, then the CRM. The CRM completion stage is reached by closing the deal, so doing it in this order avoids entering the date twice.
- Marking a listing Sold by hand when it has a linked deal prompts you to set the deal to Closed / Sold as well, so the two stay in step.
- Commission figures can wait. Record completion on the day and come back to Commission received when the invoice is paid. Update the payment status then.
- Everything signed is already in the Vault. The executed copies filed themselves as each document completed, so the property file is finished when the sale is.
- Private listings follow the same path. Marking them Sold records the sale without ever having shown the listing publicly.
